How to Use Images and Video Footage

There are several steps involved in obtaining and using images and video footage referenced on Work4Women.
Identify Owner of Image/Video
You must determine who is the owner of an image or video in order to obtain permission to copy and use an item. The owner can be an individual who produced the video or took the photograph. The owner may also be a company or organization that commissioned the work or bought the rights. Usually, the owner's name and/or contact information are written near or on the video, photograph or graphic art work. If not, contact the web site or catalog where you found the item and ask for the owner's contact information.

Obtain Permission to Copy and Use Image/Video
Adhere to Copyright Restrictions

It is important to retain permission to copy and use an image or video in writing for any image or video that you find on the web. Occasionally, some images or videos are free and anybody can use them without prior permission. However, you should obtain this in writing as well.

This will protect you as the user and, moreover, support the owner and others involved in making the image/video available in the first place. Contact the owner (see above) to obtain permission. If they don't have a written form, you may also use our sample permission language to create one.

When seeking permission to use an image or video, be prepared to provide the following information to the owner:

  • Usage Intent—For what purpose do you want to use the image/video (educational, marketing, promotional and commercial/non-commercial?)
  • Media Format—In what kind of media are you going to use the image/video (e.g., web site, print-brochure, magazine, report, newspaper?)
  • Usage Frequency—How many times and for how long will you use the image/video (i.e., How often will an image/video appear online and for how long? Will you run the image once in a newsletter, or indefinitely in a training manual?)
  • Crediting Source—How are you going to credit the source or acknowledge the owner?

Copy and Save Image/Video
Below are instructions on how to copy and save images/videos from the Work4Women Collection:

NOTE: To copy and use images/videos NOT from Work4Women, contact the owner or source directly for instructions.

Images

  1. Right click on the image. A pull down menu will appear.
  2. Scroll down the menu and select "Save Picture As" (Internet Explorer) or "Save Image As" (Netscape Navigator) with your left mouse button. A "Save As" dialogue screen will appear.
  3. Select the destination folder where you want to save the image.
  4. Rename the image in "File Name" field (optional.)
  5. Select the File Type from the available options using the arrow at the end of the field. File type options may include:
    • JPEG file (*.jpg) is a good file format for images that are photographs or have a lot of detail or colors. To modify the image (e.g., resize, write in the credit, etc.) you will need an image editor (e.g., PhotoShop, MS Paint.)
    • GIF file (*.gif) is a good file format for line drawings or clip art. To modify the image (e.g., resize, write in the credit, etc.) you will need an image editor (e.g., PhotoShop, MS Paint.) (Tip: Be sure to change the "mode" from "indexed color" to "RGB" before resizing or modifying.)
    • BITMAP file (*.bmp) provides lower resolution but is easily opened and manipulated in any word-processing software (i.e., an image editor is not required.)
  6. Click "Save."
  7. Open and insert the image in word processing and desktop publishing software per the software's instructions.
  8. Write source's credit under the image/video or use an image editor application to create the credit within the image itself.

Videos

  1. Right click on the link to the video clip (may be an image or text link). A pull down menu will appear.
  2. Scroll down the menu and select "Save Target As" (Internet Explorer) or "Save Image As" (Netscape Navigator) with your left mouse button. A "Save As" dialogue screen will appear.
  3. Select the destination folder where you want to save the image.
  4. Rename the video in "File Name" field (optional).
  5. Select the File Type from the available options using the arrow at the end of the field. File type options may include:
    • Ram (*.ram), the file format for viewing video with RealPlayer.
    • MOV file (*.mov) the file format for viewing video with QuickTime.
    • AVI (*.avi) the file format for viewing video with MS Media Player.
  6. Click "Save."
  7. Open and view video using a video viewing application (e.g., RealPlayer, Quick Time).
  8. Link to the video from your web site using an HTML editor. Be sure to include text crediting the owner/source of the video.
